Job Description

 

This role is subject to a flexible hybrid work arrangement requiring a minimum of 1-2 pre-determined days per week in our mid-town office.

 

SUMMARY

The Project Manager will be responsible for managing the successful implementation of the satellite and training programs at medical meetings sponsored by the Cardiovascular Research Foundation (CRF). This position will work closely with internal and external stakeholders including industry partners and vendors to plan, procure and execute CRF’s satellite and training programs.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Manages the full life cycle of the satellite and training programs, including solicitation of funding, successful execution of programs, and comprehensive reporting.
  • In coordination with the Sr. Manager, defines and develops satellite and training programs’ scope, goals, schedules, timelines, and deliverables.
  • Serves as the main point of contact for satellite and training programs internally, including communicating with the appropriate stakeholders to ensure the programs are effectively and successfully executed on time and within budget.
  • Collaborates with internal teams to craft and continually refine planning guides providing clients with a roadmap for seamless program execution. Effectively guides clients throughout the program planning process ensuring a successful outcome.
  • Works closely with internal teams to update websites, signage, marketing and communication collaterals.
  • Owns and manages client and programmatic information in Salesforce and other systems, ensuring timely and accurate updates.
  • Stays informed about programmatic updates, reflecting changes promptly in reporting, systems, and marketing materials.
  • Conducts post service evaluations for satellite and training programs and compiles and analyzes registration and attendance data related to these programs.
  • Monitors trends in the healthcare industry to determine perspective program topics, or potential program sponsors.
  • Assists in all activities necessary to meet the department needs, including cross training other areas in the industry team such as exhibits, sponsorships, and unrestricted educational grants.
  • Attends CRF-sponsored and other related conferences where applicable.
  • Additional duties as assigned.

 

QUALIFICATIONS

  • Bachelor’s degree.
  • Attention to detail; demonstrates a strong commitment to precision and accuracy in all tasks and responsibilities.
  • Proven ability as a self-starter with a resourceful mindset, capable of working independently and collaboratively within a team.
  • Strong focus on flexibility, ability to multi-task, excellent organizational skills, good follow-up and judgment. Must be able to prioritize.
  • Adept at comprehensively understanding processes and their interconnectedness, with the ability to communicate this information professionally to stakeholders.
  • Must possess excellent communication and writing skills, patience, professionalism and ability to effectively interact with staff, faculty, and management alike.
  • Ability to analyze and synthesize information, with a demonstrated capacity to solve problems effectively.
  • Strong interpersonal skills, including active listening and the ability to understand clients’ needs while effectively managing expectations.
  • Must be proficient in Microsoft Excel, Word, PowerPoint, and Outlook.
  • Meeting planning experience a plus, but not required.
  • Previous experience working with clients, ensuring effective communication and relationship management.
  • Experience in healthcare or pharmaceutical industries and/or medical devices preferred.
  • Travel Required

COMPENSATION

The hiring range for this position is $75,000 - $85,000 per year. The annual salary that will ultimately be offered to the successful candidate will depend on job-related knowledge, education, skills, and experience.
