Job Title: Director of Operations

Opening Date: June 25, 2024. Open until filled.

Salary: $85,000-$105,000. The majority of qualified candidates should expect to start at the lower end of the pay range with the opportunity to advance. To start near the top of the pay range, a candidate would have 7+ years of experience as a Director of Operations at a similarly sized nonprofit. General Description

The Director of Operations is responsible for managing the day-to-day operations necessary to ensure the organization achieves its objectives. Reporting to the President/CEO and serving as an integral member of the senior leadership team, the Director of Operations is responsible for the development of OneStar’s human resources and operations strategy and contributes to the development of the organization’s strategic goals. In addition to the strategic components, the Director of Operations is charged with developing and implementing policies and procedures both in human resources and general operations. The Director of Operations position performs advanced professional work under limited supervision with considerable latitude for the use of initiative and independent judgment. This position requires the individual to be based in Austin, TX, but offers the flexibility to work remotely as needed.

 


Primary Responsibilities

Strategic Leadership and Planning
  • Serves as a strategic advisor to the President/CEO and coordinates the development and regular review of goals, objectives, and milestones in relation to OneStar’s strategic plan and state service plan.
 

Financial Management
  • Develops, implements, and manages the organizational budget in consultation with President/CEO and senior leadership.
  • Utilizes budget tracking tools to carry out budget reporting and analysis; provides regular reporting and metrics regarding actual to proposed budgets to OneStar leadership that assists with implementing strategies and project activities.
  • Conducts, in conjunction with program staff, regular reporting and metrics regarding grant spending and performance on project deliverables.
  • Assists with preparation of the financial portion of Board meeting materials.
  • Receives and ensures proper budget coding for invoices and disbursement requests; provides approvals for automated clearing house payments to grantees; may coordinate with Controller to sign checks as needed.
  • Serves as staff liaison to the Board Audit and Finance Committee, supporting the committee chair and ensuring effective communication and coordination between the committee and OneStar staff.
 

Human Resources Management
  • Identifies and manages relationships with third-party payroll and benefits providers; serves as the main point-of-contact with outside payroll and benefits administrators;
  • Processes timesheets and approves biweekly payroll transmission.
  • Manages living allowance payments and invoicing process for the AmeriCorps VISTA project.
  • Coordinates hiring process, including posting job openings, screening resumes, overseeing interview process, and making offers to potential hires; coordinates and conducts new employee orientation.
  • Compiles and maintains personnel records; updates employee files to document personnel actions and to provide information for payroll and other uses; examines employee files to answer inquiries and provides information to authorized persons; and compiles data from personnel records and prepares reports, as required.
  • Develops, updates, implements, and enforces office and human resources policies and procedures, including conducting pre-employment background checks, and communicates policies to staff through memorandums, meetings, and individual agreements.
  • Develops and manages performance evaluation systems to ensure ongoing staff development and alignment with organizational goals.
  • Ensures compliance with all applicable laws and regulations related to human resources and operations.
 

Operations Management
  • Oversees the execution of day-to-day operations, ensuring seamless implementation and compliance with human resources policies and organization procedures. Monitors and optimizes workflows to enhance efficiency and effectiveness across teams.
  • Leads efforts to assess and nurture organizational culture, fostering a positive work environment and reinforcing strong organizational values, with support from senior leadership and staff.
  • Develops and implements strategies to mitigate organizational risks, ensuring proactive measures are in place to identify, assess, and address potential risks. This includes evaluating and maintaining appropriate insurance coverage as part of the overall risk management strategy.
  • Coordinates Senior Leadership and Staff meeting structures and agendas to ensure effective communication and alignment across teams.
  • Handles details confidential in nature and exercises a high degree of professionalism and confidentiality in all aspects of the role.
  • Oversees operational systems and technologies to improve efficiency and data management.
  • Gathers requirements and makes recommendations for cross-cutting processes, tools and training required to meet OneStar’s strategic goals.
 

Additional Responsibilities
  • Serves as the primary interface between senior leadership and internal teams for all projects related to human resources and operations.
  • May supervise and/or coordinate the project work of others.
  • Coordinates seminars, workshops, staff development, special projects, and/or events to support OneStar’s goals, as required.
  • Aligns work duties with the OneStar Mission and Vision.
  • May be assigned to cross-functional teams to support OneStar goals and initiatives.
  • May perform other duties as assigned consistent with current duties and responsibilities.
 


Minimum Qualifications

  • Location: Must be based in Austin, TX, with flexibility to work remotely as needed.
  • Experience: Five to seven years of progressively responsible experience relevant to this position.
  • Education: Graduation from an accredited four-year university with major coursework in human resources, business administration, public administration, or a related field. Relevant experience and education may be substituted.
  • Mission Alignment: Understanding and commitment to OneStar’s Mission, Vision, Core Beliefs, and to our programs and initiatives.
  • Travel: Willing to travel in Texas, and occasionally to other states, for conferences and special events (approximately 5% time).
 


Preferred Knowledge, Skills and Abilities

  • Experience in strategic planning, budget management, and financial oversight, including proficiency with budget development and reporting.
  • Experience in supervising and developing staff, including performance management and professional development.
  • Experience in policy development, implementation, and enforcement, particularly in human resources and operations contexts.
  • Experience with human resources processes, including payroll management, benefits administration, and employee relations.
  • Knowledge of human resources principles, practices and procedures, including employment law and regulations.
  • Exceptional communication skills, both verbal and written, with the ability to effectively convey complex information and adapt communication style to various audiences.
  • Sound decision-making ability and problem-solving skills, with a demonstrated ability to exercise discretion and independent judgment.
  • Experience managing relationships with vendors and service providers.
  • Excellent time management skills, well-organized, detail-oriented, and able to work both independently with limited supervision and as part of a project team.
  • Experience with federal grant management is preferred.
  • Experience with budget management software preferred.
  • Experience working for nonprofit organizations is preferred, including faith-based and other grassroots community organizations, and/or other social service sector organizations.
  • Thorough knowledge of Microsoft Office software products.
  • Ability to manage multiple tasks simultaneously and meet multiple deadlines.
  • Ability to complete a high volume of work at a consistently high level of quality.
  • Ability to take initiative and think creatively.
  • Ability to maintain confidentiality and use discretion in human resources matters.
  • Ability to work collaboratively and effectively with individuals of diverse backgrounds.
