Pay Grade: Manager 5
This position directs center/campus operations and serves as a liaison between college and campus/center faculty and staff, ITS, Facilities, the Business Office, Police, Communications, and Student Services. It serves as a member of the Campus Services Group and leads participation in the College’s Business Continuity Plan.
Responsibilities and Duties (*Essential Functions)
Leads facility participation in the College’s Business Continuity Plan- Coordinates emergency drills with College Police
- Communicates facility announcements to resident faculty and staff, including emergency and security notices
- Coordinates daily operations of the facility, including evening and weekend hours
- Collaborates with multiple service areas as needed for facility operations for projects such as the relocation of faculty and staff and the allocation of physical resources
- Maintains facility records, faculty/staff directories, and Teams/email groups
- Assists with classroom and space scheduling; maintains facility enrollment and space allocation/usage records; prepares related reports
- Serves as point person for all aspects of facility operational, construction and renovation projects
- Advises Provost/CCO on changes needed to facility plans, policies, and operations; updates and communicates changes to facility employees
- Represents the Provost/CCO and makes decisions when needed, and as permitted, in their absence
- Serves as a member of the Campus Services Group and an auxiliary report to the EVP-Operations
Directs facility faculty and staff in reporting work orders, coordinates with service areas, and monitors work status
Works collaboratively with Communications & Marketing and Student Services to provide and promote programs, activities, and information to faculty, staff, and students
Supports campus Workforce Continuing education programs by maintaining knowledge of programs and processes to assist with student, faculty, and staff inquires
Represents the campus/center in various focus groups and committees providing input in support of college service areas and programs
Coordinates event operations at the facility, including but not limited to scheduling, contract execution, set up, AV/IT needs, equipment, catering, rental space, media, etc.; responsible for communicating event details to all required internal and external contacts (varies by location)
Oversees the facility’s event calendar; communicates updates for the college-wide events calendar and website and event details to internal and external contacts; maintains records of internal and external events (varies by location)
Manages facility administrative and events budgets (varies by location)
Supervises and performs purchasing requirements (P-card) for internal facility events and meetings while adhering to budget specifications and following college policies and procedures (varies by location)
Supports campus department heads and others (varies by location)
Prepares and routes facilitator/instructor/speaker contracts for Entrepreneurship Initiatives
Processes the purchasing of software, supplies, materials, and other resources for Entrepreneurship Initiatives
Supervises and evaluates Receptionist/Cashier positions
Supports and coordinates the use of Wake Tech vehicles assigned to Western Wake Campus.
Develop and maintain relationships with property owners and key stakeholders
Qualifications
Knowledge, Skills, and Abilities:
Intermediate proficiency in Microsoft Word and Excel
Excellent communication skills, including oral, written, and listening skills
Ability to take initiative and be self-directed, detail oriented, organized, and able to multi-task
Ability to develop and implement processes and procedures
Skilled in problem solving, critical thinking, and crisis management abilities
Ability to maintain a high level of confidentiality as needed and required
Ability to be an effective and collaborative team player and maintain strong working relationships with various stakeholders
Minimum Requirements:
Bachelor’s Degree
Three years’ experience in administrative operations, project management, event planning, or related field or an equivalent combination of education and experience
